You may want to wait a day to see the results of the Special Town Meeting before contemplating this email.

Hollis is supposed to replace NDS map/lot references with the new(er) CAI map/lot numbers. NDS has written a routine to execute this in the assessing database.

NDS will need a cross-reference file. I have pulled together as much as I can. The attached file named "NDS-CAI Map-Lot for 2026 conversion" is a copy of the work in progress. Your copy of this file is just for reference to see what we are producing. I will be working with the live file.

I think the next step will be extremely time consuming and potentially complicated. There is no way I will have the time to do this. I will explain this and maybe you can try a few to see how effective you can be doing this.

NDS has 2,540 records in Remast1. The map-lot reference in NDS Remast is the real estate_id field. There are 266 records that are not matched with a new CAI map-lot reference. The attached file named "Need CAI research" is the list.

The most common issue is NDS real estate id's that are missing padded zeroes or contain spaces. The task is to take the "need research" list and find the CAI map-lot number and add it beside the NDS number.

Please try a few. You may have a better approach than I do given how many years you have lived with the dual numbering.

Tonya at NDS suggested we could retain existing NDS map-lots if we can't match an account with a CAI map-lot. This would not be ideal. I'd call it a last resort and hopefully we can keep the accounts in this situation to a minimum. This depends on how successful you can be with this list. If we end up retaining some NDS numbers we would have a year to clean these up. We would have to ask NDS about changing this subset next year.
