Do you think we should set up a dedicated GA email that isn’t “public” but that can be used to exchange information on an application in progress?

My concern is that I am receiving GA info from landlords and residents to the planning board email. That info is accessible by anyone who takes over the PB secretary job in the future. They could potentially see sensitive information.

If we had a dedicated GA email, we could also share that with the state for all training and notices. When I am on vacation, Mary can access the email, etc. it would be easier to keep it separate for tracking and record keeping purposes as well.

I know there is a concern with receiving an application and deciding within 24hours so I don’t think we should have the email publicly posted… just something internal that we share with current GA clients. We can even add a disclosure that says we cannot accept an application via email without first talking via phone.
