Hi Mike,

We usually start a revaluation in August or September the year before implementation. So, an April 1, 2027, FY 2027-2026 revaluation would start in the next month or two.

I will say that these jobs usually start with some form of public notice that we will be visiting properties. I don't know what the appraiser envisions for educational material. It may be helpful to you to get a sense of the person's expectations. Knowing what they expect offers an opportunity to clarify what we do, which may or may not satisfy what they expect.

Thanks John - and thanks again for your time yesterday! So helpful.

We scheduled a special town meeting on August 5th to get this over the finish line. I have a good feeling we’ll be successful.

One other thing - I stepped down as chair last night. Roger Hicks is now chair. This wasn’t a surprise and I let the board know a couple weeks ago - So there shouldn’t be too much drama. Feel free to keep Roger and myself in the loop on emails like this.

A Hollis resident who happens to be an appraiser asked this question if you could field:

How do they plan to measure and list all properties in the town in such a short period of time? It doesn’t give much time to put educational material out to property owners.

I think it is a good time for a TEST RUN but I want to be clear about what we have to work with for a cross-reference file and what we are doing with the file to make it as clean as possible.

Hollis received a cross reference file from CAI in 2019. Or the Town made the cross reference, I'm not sure. I don't know that the Town did anything with the file at the time to verify the completeness of the file. I know that the Town intended, and did so to some unknown extent, to manually update the cross reference in subsequent years. This file is a worksheet named "Original 2019" in the attached workbook.

The worksheet name named "NDS 2026-07-13" is a remast1 extract done today. The worksheet named "starting cross reference" is meant to be THE cross-reference file for your use. The "orphans" worksheet are notes cut from the "Original 2019" worksheet to get these notes out of the way.

As I see it the work left to be done on the cross-reference worksheet is:

* Research and populate the 44 records that are missing the CAI map-lot in "starting cross reference". * Research the properties listed on the "orphans" worksheet on the assumption these are not in the cross reference. * Join the "NDS 2026-07-13" worksheet, using column "realestate_Id", to the "starting cross reference" worksheet, using column "NDS keystring", to identify NDS accounts that do not have a record in "starting cross reference" * Review available lists of new accounts from tax maps revisions going back as close to 2019 as possible. I believe we have useable lists for 2022 to 2025. The 2026 tax map changes are not done yet. Note: this is a second check, the join should flush out new accounts that are not in the cross reference.

Please consider the information above and give me feedback on the "work in progress" cross reference worksheet and its suitability for your conversion program. Please let me know if you have any input on the "work left to be done" points. Thanks, John

We have a conversion program to reassign the map/lots that is now ready to be tested. Do you have an updated spreadsheet that maps the old map/lot to new, I think when we last chatted about this it was still a work in process?

I’d like to run some tests here at NDS soon to ensure it’s all ready to go prior to the tax commitment.

Hello Stacia & Tonya,

Hollis had a new tax mapping job around 2021. Since that time the Town has used a “dual” map-lot number system.

I am writing to help Hollis inquire about replacing the current NDS map-lot numbers with the CAI map-lot numbers in NDS. On the Town’s end of things we have the “original” (2021?) map-lot cross reference (attached). I believe we (the Town) will need to update the cross reference to April 1, 2026. I believe we will have to do some testing to ensure the cross reference is “clean”.

Please let us know what NDS can do and what the Town needs to budget for NDS’ work. Any other feedback on what the Town should do is appreciated.

The goal will be to have this done before the FY 2026-2027 tax commitment.
